Users, groups and roles

Users, groups and roles

Your instance belongs to you alone: you decide who gets in and what each person can do. The menus live in the Administration part of the sidebar.

Invite someone

  1. Open Invitations, then Invite user.
  2. Enter their email address and, optionally, a Role.
  3. Pick the Invitation language (FR, DE, IT or EN).
  4. Click Send invitation.

The person receives a personal link, valid for 7 days, to create their account. From the invitation list you can resend or cancel it.

Manage users

The Users menu lists every account. Click a row to change the name, role or groups, or to deactivate an account without losing its answers.

Organise groups

Groups are mainly used to share forms: a form can be opened to selected groups only, with the level Fill in, View responses or Manage.

  1. Open Groups and create a group (for example "Sites").
  2. For a sub-group, choose the parent in Inside the group: its members also get the access given to the groups above.
  3. Optionally set a Team lead, then add members.

If you use single sign-on, the Group at the identity provider field links the group to the one in your directory (see Sign-in and security).

Define roles

In Roles, each role has a name, a stable code, a colour and a Hierarchy level (0 to 100). A role chosen in the invitation applies as soon as the account is created.

Sign-up codes

To welcome many people without inviting each one, create a sign-up code. People register on the Sign up with a code page. For each code you can set the role it grants, a maximum number of uses, validity dates and a required email domain (for example your-company.ch).
