Choosing who can respond
Each form has its own access level. Set it in the builder under Settings → Who can respond?, or on the Share and embed page (Access level, then Save the access level).
The four modes
- Public — anyone with the link can respond, no account needed. An anti-bot check (Cloudflare Turnstile) protects the form against automated submissions.
- Access code — the link alone is not enough: people must also enter the code you gave them. Handy for a limited audience without creating accounts.
- Signed-in people — only users of your instance, once signed in, can respond. The form appears in their To fill in menu.
- Chosen groups — only members of the groups you select (and of their sub-groups) can access the form.
Levels per group
With Chosen groups, you give each group a level for this form:
| Level | What the group can do |
|---|---|
| Fill in | Respond to the form |
| View responses | Respond and read the responses received |
| Manage | All of the above, plus edit the form and its settings |
Groups are created in the Groups admin menu (see Users and groups).
Tips
- For an open survey, choose Public: the anti-bot check is enough in most cases.
- For sensitive data, prefer Signed-in people or Chosen groups: every response is then tied to an account.
- You can switch modes at any time; responses already received are kept.
